All About Assigning Orders to Inspectors
While the InspectBASIC package is meant for solo inspectors since there can be only one website user (the site admin), it can also be used in a multi-inspector office. Clients submit orders and you--the site admin--receive them. In order to assign an order, you can either:
- Give the inspector your admin login so they can see the order online.
- Print out the order and give it to the inspector.
- Forward the order notification email to the inspector.
If you have set up the printable order form, clients may also choose not to submit orders through the website but instead fax or mail them in.
In the InspectCOMPLETE package, there are much more flexible options for assigning orders to inspectors. Every inspector has their own login, and they can only see the orders you (the site admin) has assigned to them.
The process starts when a client submits an order. You, the site admin, will receive an order notification email. You then process the new order into the system and assign it to an inspector or offer it to one or more inspectors.
If a client submits an order by faxing it in, telling you about it over the phone, or whatever other non-website method, you will need to manually enter the order data into the website's system before you can use the website's order assigning features.
MANUALLY ASSIGN THE ORDER TO AN INSPECTOR
When you process a new order into the system, you can select an active inspector to assign the order to. The system will then notify the inspector that they have an order. There is no special configuration you need to do in order to enable this option. Even if you set up any of the options below, you will also always be able to manually choose the inspector.
ALLOW CLIENTS TO SELECT WHICH INSPECTOR THEY WANT
When you process a newly submitted order, the inspector that the client chose will be pre-selected. The system will then notify the inspector that they have an order. You can always change the inspector to someone else.
To enable this option, go to Site Settings > Misc Site Options, and it's in the Front End Options section.
OFFER ORDER TO ONE OR MORE INSPECTORS SERVICING A LOCATION
With this option is enabled, when you process a new order, you will have the opportunity to offer the order to one or more of your inspectors who have indicated that they service the location of the order. The location can be anything you choose: a city, zip code, state, or region. If you will be using counties as your location specifier, see the next option.
The inspector(s) will receive an email telling them that an order is being offered to them, and when they login they will have the opportunity to accept or decline the order. You will then receive an email telling you which they chose, along with a note if they included one.
To enable this option, go to Site Settings > Misc Site Options and it's the option called Orders Offered to Inspectors By Location. You will also need to define all the locations you service under Site Settings > Data Fields > Inspector Locations. And then all your inspectors will need to edit their profiles and check the boxes of all the locations that they service.
OFFER ORDER TO ONE OR MORE INSPECTORS SERVICING A COUNTY
This option is just like the previous one, except all the counties in the USA are already in the system so you don't have to manually enter them.
To enable this option, go to Site Settings > Misc Site Options and it's the option called Orders Offered to Inspector By County. You will also need to select all the states and counties you service under Site Settings > Data Fields > States. And then all your inspectors will need to edit their profiles and check the boxes of all the states and/or counties that they service.
OFFER ORDER TO INSPECTOR CLOSEST TO THE PROPERTY
When this is enabled, when you process a new order into the system, it will tell you which inspector is closest to the property and who has not received an order in the longest amount of time. So if Bill and Lisa are both close to the property, and Bill's last order was a week ago and Lisa's was a month ago, the system will suggest Lisa. You will still need to either offer the order to the inspector or manually assign it to them -- the system will only tell you who it should be.
To enable this option, go to Site Settings > Misc Site Options and it's the option called Orders Offered to Next Inspector By Distance. In order for this feature to work, the inspector's profile must include their city and zip code, and the order should include the property city and zip code.
